CORPORATE SPONSORSHIP & FUNDRAISING POLICY

INTRO

Thank you so much for reaching out and wanting to support us through donations! We truly appreciate your generosity and willingness to contribute to our work, especially the small businesses. To ensure we use our small team's time wisely, we have guidelines in place to help us focus on serious offers. These are not meant to discourage anyone but to make sure we can efficiently handle support in a way that benefits our mission the most as we are still a very small organisation. We’re grateful for your understanding and for being part of this journey with us!

1. Purpose

The purpose of this policy is to establish clear guidelines for corporate sponsorships and fundraising collaborations to ensure they align with Project Hiu’s mission, values, and ethical standards. This policy protects the integrity and reputation of Project Hiu while allowing for sustainable funding opportunities.

2. Scope

This policy applies to all individuals, businesses, organisations, and groups seeking to collaborate with Project Hiu through fundraising initiatives, sponsorships, or financial contributions.

3. Guiding Principles

  • All sponsorships must align with Project Hiu’s commitment to marine conservation, sustainability, and community empowerment.

  • All partners must provide a minimum sponsorship of $500 AUD, payable at commencement of collaboration.

  • Partners must disclose fundraising methods, financial contributions, and marketing materials.

  • Project Hiu will not partner with businesses that use sustainability claims to mislead consumers.

  • Sponsorships must comply with ethical business practices and human rights standards.

  • Project Hiu retains the right to engage with multiple sponsors.

  • Project Hiu reserves the right to reject or end sponsorships that do not meet its standards or pose reputational risks.

 

4. Eligible Sponsors

Project Hiu will only consider sponsorships with businesses and organisations that:

  • Demonstrate a commitment to sustainability and ethical business practices.

  • Have no direct involvement in industries harmful to marine life (e.g., fishing, unsustainable tourism, fast fashion, single-use plastics, or environmentally destructive practices).

  • Do not have a history of legal, ethical, or environmental violations that conflict with Project Hiu’s values.

 

5. Due Diligence Process

All potential sponsors must undergo a due diligence review, which includes:

  1. Submission of a formal proposal detailing the nature of the fundraising initiative.

  2. Review of the organisation’s background, reputation, and sustainability practices.

  3. Assessment of financial transparency and proposed contribution model.

  4. Approval by Project Hiu’s Board of Directors.

 

6. Fundraising & Financial Transparency

  • Partners must submit initial sponsorship payment of $500AUD at commencement of collaboration.

  • Partners must specify the percentage or amount of sales/donations allocated to Project Hiu.

  • Financial reports must be provided regularly to ensure accurate donation tracking.

  • Project Hiu will publicly disclose approved sponsorships where relevant.

  • Funds must be transferred securely and in compliance with Australian and international regulations.

 

7. Branding & Marketing Use

  • Use of Project Hiu’s name, logo, and branding must be submitted for approval by Project Hiu Board of Directors, prior to use and promotion.

  • Marketing materials must not mislead the public regarding the nature of the partnership or donation allocation.

  • All fundraising initiatives must include a clear statement on how Project Hiu benefits (e.g., “10% of profits from each sale will be donated to Project Hiu”).

  • Project Hiu reserves the right to selectively and willfully re-post messaging and content relating to collaborative partnerships, on the channels of our choice without prior approval.

  • To protect the brand and reputation of Project Hiu, message content will be carefully crafted, considering perceived endorsement or advertising language, as well as content viewed by minors in all geographies.

 

8. Partnership Agreements & Compliance

  • Approved sponsors must sign a formal agreement outlining the terms of the collaboration.

  • Compliance with this policy will be monitored throughout the partnership.

  • Breach of terms or reputational risk may result in immediate termination.

 

9. Termination of Partnerships Project Hiu reserves the right to terminate any sponsorship for any reason, including:

  • If the sponsor engages in practices deemed to be in misalignment with Project Hiu’s mission.

  • Misrepresentation or non-compliance with agreed-upon terms occurs.

  • There is a risk of reputational damage to Project Hiu.

 

10. Review & Updates This policy will be reviewed annually to ensure alignment with best practices in ethical fundraising and corporate sponsorships.
